What Is a Certified True Copy and Why Might You Need One?

In today’s world, many organizations require copies of important documents instead of the originals. However, they often need reassurance that the copies are accurate and authentic. That is where a certified true copy comes in.

A certified true copy is a photocopy of an original document that has been compared to the original by a notary, who then certifies that the copy is a true and exact reproduction of the original document.

At DG Notary, we regularly assist clients with certified true copies for a wide range of personal, educational, legal, and business documents.

Common Documents That Can Be Certified

Some of the most common documents clients bring in for certified true copies include:

  • Passports

  • Driver’s licenses

  • Permanent resident cards

  • Citizenship certificates

  • Birth certificates

  • Marriage certificates

  • Death certificates

  • Educational diplomas and degrees

  • College and university transcripts

  • Professional licenses and certifications

  • Utility bills and proof of address documents

  • Immigration documents

  • Business and corporate records

Certified true copies are often required for:

  • Immigration applications

  • School admissions

  • Employment verification

  • International travel or visa applications

  • Professional licensing

  • Government submissions

  • Banking and financial matters

How the Process Works

Getting a certified true copy is usually quick and straightforward.

  1. You bring/ mail the original document.

  2. We compare the original document to the photocopy.

  3. We verify that the copy is complete and identical to the original.

  4. We stamp and sign the copy to certify it as a true copy of the original document.

Important Things to Know

Before your appointment, keep the following in mind:

  • The original document must be presented. We cannot certify a copy from another photocopy, scan, or photo.

  • Documents should be clear and legible.

  • Some organizations may have specific wording requirements or may request notarization instead of certification. If possible, provide any instructions you received.

  • Certain documents may require additional verification depending on the country or institution requesting them.

Why Use a Notary Public?

Using a notary public helps ensure your certified copies are accepted by institutions, government agencies, schools, and organizations that require official verification.

We understand that these documents are often important and time-sensitive. Our goal is to provide a professional, efficient, and convenient notarization experience.

Please note that online or remote notarization is not yet explicitly regulated under Ontario law. Therefore, DG Notary does not offer online notarial services, including the digital notarization of documents. Any mention of terms such as “notary,” “online notary,” or “notarize online” on our website is used solely in an informal, descriptive context. These references apply only to our lawful remote commissioning and virtual witnessing services, which are separate from formal notarial acts.

DG Notary is not a law firm and does not provide legal advice, representation, or legal opinions. While we assist with online commissioning and witnessing, we do not provide guidance regarding the legal validity, enforceability, or acceptance of documents.

If you need legal advice about executing or using a document, we recommend consulting a licensed lawyer or qualified legal professional. Before using our services, it’s also important to confirm whether the document will be accepted by the intended recipients—such as courts, government bodies, or other organizations—especially when executed electronically or remotely.
